ImpactReportHub is operated by Sport Local Action, a Community Interest Company registered in England and Wales. When this policy refers to "we", "us" or "our", it means Sport Local Action and the ImpactReportHub platform.
We are committed to protecting your privacy and handling your personal information responsibly and in accordance with the UK GDPR and the Data Protection Act 2018.
2. What information we collect
We collect information in the following ways:
- When you submit a report - we collect your name, email address, organisation name and the details you provide about your impact report.
- When you contact us - we collect your name, email and the content of your message.
- When you subscribe to our newsletter - we collect your email address.
- When you enquire about advertising - we collect your name, email, organisation and the details of your enquiry.
- Automatically when you visit the site - we collect anonymised data about how pages are used, including page views, session length and referral source, via analytics tools.
We do not collect payment information directly. Any payments are processed by third-party payment providers and subject to their privacy policies.
3. How we use your information
We use the information we collect to:
- Process and publish impact report listings
- Respond to enquiries and support requests
- Send the newsletter to subscribers who have opted in
- Manage advertising placements and send performance reports to advertisers
- Improve the platform based on how it is used
- Comply with our legal obligations
We will only contact you for purposes directly related to why you gave us your information. We will never send you unsolicited marketing without your consent.
4. How we store and protect it
We take reasonable technical and organisational steps to protect your personal information from unauthorised access, loss or misuse. Our platform and data are hosted on secure servers within the UK and European Economic Area.
We retain your information only for as long as necessary. Listing submission data is retained for as long as the listing is active plus 12 months. Newsletter subscriber data is retained until you unsubscribe. Enquiry data is retained for up to 24 months.
5. Who we share it with
We do not sell your personal data. We may share it with:
- Service providers - such as email platforms, analytics tools and hosting providers, who process data on our behalf and are bound by data processing agreements.
- Legal obligations - if required to do so by law or by a court order.
We do not share your personal information with advertisers. Advertisers receive aggregated, anonymised performance data only (impressions and click-throughs).
6. Your rights
Under UK GDPR, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal information
- Object to or restrict how we process your information
- Withdraw consent at any time (where processing is based on consent)
- Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk

7. Cookies
We use a small number of cookies to make the site work and to understand how it is being used.
- Essential cookies - required for the site to function. These cannot be disabled.
- Analytics cookies - help us understand how visitors use the site. These are anonymised and do not track you personally. You can opt out via your browser settings.
We do not use advertising or tracking cookies. We do not allow third-party advertisers to place cookies on our site.
